Virtual Parent Teacher Conferences

Due to the COVID 19 pandemic parent/teacher conferences will be held VIRTUALLY this year. VIRTUAL Conference dates are on Thursday, October 22nd from 4:00 - 7:30 pm and Tuesday, October 27th from 4:00 - 7:30 pm. If you DO NOT have internet access you are welcome to contact the office and we will schedule conferences on your behalf.


Below is the process for booking conferences:

  • PRE-REGISTER via link on right and set up a "Parent Account" (DO NOT include “www” in the url)

    1. Video tutorial on right for assistance

    2. Inside the registration site select the REGISTER NOW button and complete the registration form. Your login credentials (email and password) will remain in the system to make it easy to access the CONFERENCE MANAGER in the future

    3. In order to enhance functionality and security, the Conference Manager requires you to use Internet Explorer 7 (or above), Firefox 3 (or above) or Safari 4 (or above). If you are using an older browser, the Conference Manager will automatically prompt you to update your browser and provide you with a link. This is a one-time process and only takes a couple of minutes

    4. In order to ensure that your email program does not block emails sent from the Conference Manager, we suggest copy and pasting this email address, into your address book 

  • October 13 @ 8 am - CONFERENCE MANAGER opens to parents to book a conference (Closes on October 26 @ 8 am)

    1. After you have pre-registered, you can access the Parent Login Page using the link in the Confirmation Email. If you do not receive a Confirmation Email, you can login by going directly to or select the link to the right

    2. Book your parent/teacher conferences

    3. Click on the HVS middle school link

    4. From the drop down menu, choose your preferred conference session 

    5. Select the teachers with whom you want to book the conference 

    6. You will see each teacher’s schedule. Please try to leave 5 minutes after the end of one session before booking the next, for example if you book one teacher from 4:00 - 4:04 pm please do not book your next appointment until 4:10 pm

    7. We are asking that EVERYONE PLEASE place their phone number AND the first three (3) letters of the student's first name and first three (3) letters of the student's last name in the comments for each teacher. That will be your GOOGLE MEET CODE. If your student's name is John Smith his GOOGLE MEET code is "JOHSMI". If you include your phone number the teacher can contact you directly should there be a technical problem.

    8. After booking your appointments you can print off your schedule. You will also receive an email containing the teacher's name, and time. You can log into the system at any time to view your bookings, print, cancel or re-schedule appointments
